This role requires a high level of professionalism, discretion, and the ability to handle multiple projects simultaneously and acts as a trusted advisor to the CMO, providing support across the leadership team. A strong candidate will quickly assimilate into the organization, identify issues, and establish trust with leaders.
Key Responsibilities:
- Develop comprehensive event proposals and budgets, leveraging your expertise and creativity to create extraordinary experiences.
- Oversee all aspects of event planning and execution, from concept development to vendor selection, logistics coordination, on-site supervision, and post-event follow-up.
- Collaborate closely with senior team and advisors to understand their vision, objectives, and preferences for their events, ensuring their expectations are exceeded at every turn.
- Cultivate[FC/1]and maintain relationships with internal and external stakeholders to advance organizational goals.
- Build and maintain strong relationships with vendors, suppliers, and partners to ensure seamless collaboration and best-in-class service
- Oversee and manage key events, ensuring smooth planning and execution of event logistics.
- Collaborate with the communications team to develop and distribute event promotion materials.
- Facilitate internal communications by creating event timelines, messaging, materials, and educational tools.
- Oversee catering contracts, maintain accurate records of internal usage, and review charges for accuracy.
- Continually monitor event progress, proactively identifying and resolving potential issues to guarantee flawless execution.
- Evaluate event outcomes to inform future improvements and best practices.
- Stay current on industry trends, emerging technologies, and innovative approaches to elevate our event planning capabilities and maintain our reputation for excellence.
- Develop and implement strategies to promote employee engagement.
- Coordinate milestone celebrations with the CMO for senior team, and A+ clients including procuring gifts, cards, and celebratory items.
- Participate in team strategic planning sessions and attend all office functions as required.
Qualifications:
- Preferred, 3 years of event planning and coordination experience within a mid to large organization.
- Associate's degree in a related field preferred, or equivalent experience.
- Demonstrated experience with community involvement, fundraising, partnerships, and serving as a liaison between organizations.
- Proficiency in common PC applications, including Microsoft Outlook, Word, PowerPoint, and Excel.
- Ability to maintain the highest level of professionalism, confidentiality, and diplomacy.
- Ability to work independently
- Is resourceful. Views no problem as too big and no task as too small. Figures things out, handles them, and gets the job done.
- Exceptional written and oral communication skills.
- Strong organizational and time management skills, with the ability to manage multiple projects concurrently.
- Keen attention to detail and the capacity to handle large volumes of information accurately.
- Valid driver's license and willingness to travel to various locations and venues for events.
