Harris Beach’s NYC Office is in search of a high performing, legal professional with a cooperative, positive, and flexible attitude! You will THRIVE in this role if you have:
- 3+ years of experience providing administrative support to a general litigation team, including e-filing and docketing
- Sound judgment and a sense of accountability for working independently and proactively
- Exceptional oral and written communication, including excellent spelling, grammar, punctuation, form, and style
- Excellent multitasking and time management abilities
- Proficiency with MS Office, scanning, and profiling of legal documents
- Superior client service and listening skills for anticipating needs of clients and attorneys
- Greet clients and maintain a client-ready reception area; responsible for maintaining and scheduling conference room/meeting reservations, coordinating catering, food and beverage set-up and supporting the IT and A/V needs
- Manage phone calls; communicate with external and internal parties professionally; transmit messages accurately and promptly; Process incoming and outgoing mail including FedEx, certified mail, and UPS
- Provide daily assistance to administrative and management team with work overflow including word processing, document production, check request processing, time entry, initiating conflict checks and new client/matter requests, creating new client files, processing expense reports, scanning/profiling and more
- Assist with office related administrative items such as receipts and processing of the firm credit card; enter check and expense submissions in Chrome River; handle office petty cash; processing incoming checks and deposits
- Learn the nuances and support the needs of the various legal practice areas such as commercial litigation, public finance, commercial real estate, medical life sciences, mass torts, healthcare, etc.
- Provide overflow and backup coverage for the Office Services Coordinator, the Records team and Administrative Assistants
- Exhibit the ability to effectively multi-task, meet deadlines, and provide solutions in a fast-paced office setting
- Believe in the firm’s core values: integrity, support, ingenuity, teamwork, and inclusion
