TOOLBX is seeking an exceptional Executive Assistant who is eager to work in a fast-paced environment on a growing team. This highly visible role will primarily support the Founder & CEO and CFO & President.

About the role:

This role requires attention to detail, solid organizational skills, and the ability to meet tight deadlines while juggling multiple critical requests across the team. The individual in this role must understand business priorities, demonstrate the ability to proactively anticipate needs and drive improvements. The successful candidate will possess the ability to complete complex tasks quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the whole picture. We are looking for someone motivated, with a proven history of high performance and the ability to operate under pressure. The ideal candidate is confident, enthusiastic, resourceful, tech-savvy, forward-thinking, self-motivated, and a creative problem solver. A relentless bias for action and effective communication at all levels is a must. This person will have a high level of integrity and discretion in handling confidential information and professionalism in dealing with senior executives.


Job responsibilities

  • Manage calendar and scheduling for CEO and President
  • Manage domestic and international travel including immigration/ visa application support
  • Manage expense report coordination and submission
  • Organize, execute, and assist with team activities (staff meeting agendas, all-hands meetings, off-sites, and team social events, holiday events/ retreats)
  • Track and help drive completion of key deliverables and follow up on outstanding items
  • Manage team space, including office moves or sourcing shared workspaces
  • Work closely with the leadership team and our business partners.

  • Demonstrated ability to prioritize and handle multiple assignments while maintaining a commitment to deadlines and long term goals
  • Desire and aptitude for learning new concepts on the job

  • Ability to prioritize and handle multiple assignments at any given time
  • This role may be asked to support duties within the finance department. Business experience in this area would be an asset.
