Overview
The position of Staff Assistant II serves as the Graduate Program Coordinator (GPC) of the Engineering Education Department (EED) at USU and performs a variety of administrative support to support the EED, its programs, and the Department Head. This is a benefited position scheduled to work 30 hours per week.


Responsibilities
Graduate Program Coordination:
  • Advises prospective graduate students on requirements, benefits, and how to apply.
  • Works closely with EED faculty in developing strategies to attract qualified applicants.
  • Manages the graduate student admissions process by compiling applications, entering admissions information into USU online systems, and communicating with the School of Graduate Studies (SGS) and applicants about EEDs decision on student applications.
  • Monitors and documents academic progress for graduate students.
  • Work with graduate students to submit a variety of required forms to the SGS.
  • Coordinates graduate students Qualifying Exam and Thesis and Dissertation Defenses.
  • Facilitate student graduations.
  • Updates relevant graduate program information on the departments website.
  • Attends the SGS meetings as the departments GPC.
  • Works closely with the SGS, the Office of Global Engagement, the College of Engineering, and the University to resolve issues related to graduate student applications, admissions, academic progress, graduation, and so on.
  • Works closely with EED Business Manager and faculty on financial issues related to student employment, tuition, differential tuition, and fee payment.

General Department Responsibilities:
  • Provides administrative support to department management, such as scheduling appointments and coordinating department meetings and events.
  • Performs office duties, including answering phones, directing calls to appropriate parties, data entry, filing, appointment scheduling, and other general duties as assigned.
  • Serves as the department coordinator of IDEA course evaluation and Curriculog.
  • Greets and directs visitors and responds to student inquiries.
  • Sorts, screens, and distributes incoming and outgoing mail.
  • Composes and word-processes various standard documents, correspondence, and reports.
  • May provide non-business-related support for departmental programs and projects.
  • Researches information, compiles statistics, and gathers, computes, and analyzes various data and sources, and prepares reports and summaries.
  • Serves as a liaison with other departments and constituencies in the resolution of matters concerning the activities and operations of the department.
  • Acts as a liaison for interdepartmental and college events.

Miscellaneous:
  • Performs miscellaneous job-related duties as assigned by the Department Head.



Qualifications
Minimum Qualifications:
  • Two years of experience in an office setting or an associate degree/technical training.
  • Experience with computers and common office software.

Knowledge, Skills, and Abilities:
  • Strong verbal and written communication skills.
  • Good organizational skills and pays attention to details.
  • Skilled with computer programs, such as Word, Excel, Outlook, Powerpoint, and graphic packages.
  • Skilled with basic office equipment, including printers, copiers, and telephone systems.
  • Knowledge of university policies, procedures, rules, and regulations.
  • Ability to handle sensitive and confidential business data and personal information.
  • Ability to work without supervision.
  • Strong professionalism and excellent customer service skills.
