HIM Specialist
REPORTS TO: Revenue Cycle Manager- Coding
SUPERVISES: Not Applicable
RESPONSIBLE AND ACCOUNTABLE FOR:
- Provides timely, accurate and accessible electronic medical chart information by scanning medical records/health information for requested audits and for coding and billing of professional services from various EMR’s and hospitals.
REQUIREMENTS AND EXPERIENCE
- Accredited high school diploma required
- Knowledge of a wide range computer applications
- Must be able to work independently and efficiently with little supervision
- Ability to recognize, evaluate and solve problems
- Requires well developed organizational skills and basic office operations to assure appropriate documentation and follow-through.

TYPICAL PHYSICAL AND MENTAL DEMANDS:

TYPICAL WORKING CONDITIONS:
- Clean environment in a gastroenterology physician’s office
- Potential exposure to communicable diseases
DUTIES AND TASKS INCLUDE BUT ARE NOT LIMITED TO:
- Keeps all patient information, practice information and staff information confidential
- Frequent mobility and/or sitting required for extended periods of time
- Some bending, lifting, and stooping required
- Normal color perceptions and corrected visual acuity
- Manuel dexterity to operate keyboard, calculator, and photocopier
- Involvement with management of information concerning physicians, mid-level practitioners, staff, hospital personnel, and patients
- Occasional high stress work may require dealing with angry, demanding patients and/or personnel
GENERAL:
- Follows established procedures, referring all new or unusual questions/concerns to Revenue Cycle Manager, Coding
- Acts as patient advocate, ensure a setting that protects the rights of the patient and well- being, safety, or dignity
- Demonstrates knowledge of OSHA, Code Blue, and Fire Safety measures
- Maintains knowledge of and complies with established policies and procedures
- Attends all required meetings
SPECIFIC:
- Assists coders by gathering documentation from hospitals to accurately code and bill professional fees:
▪ Multiple hospital systems
▪ USDH providers work is documented on hospital cards/papers with information that can be used to pull the appropriate data
▪ Label and scan the appropriate data to relevant folders for coding process.
- Organize and track hospital cards from USDH providers to ensure complete billing:
▪ Document received hospital cards/sheets
▪ Verify that all cards/sheets are received timely
▪ Inform Revenue Cycle Manager-Coding of missing or timely cards
- Track, pull, maintain documentation and medical records as needed for various audits and claim reviews.
- Maintain filing and administrative systems so that written or computer information is easily accessible and secure.
- Keeps up to date with governmental rules/regulations concerning medical health records.
- Creates a workplace culture that is consistent with the overall organization’s culture and emphasizes the identified mission, vision, guiding principles, and values of the organization. Leads employees to meet the organization’s expectations for productivity, quality, and goal accomplishment.
- Adheres to HIPAA Compliance. Maintains privacy of all parties regarding information as attained through written, verbal, or electronic disclosure. Maintains confidentiality of both patients and employees, consistent with facility guidelines.
Reports privacy breaches to the correct personnel.
- Addresses facility and departmental communication through daily review of all correspondence, including incoming email messages.
ATTENDANCE AND RELIABILITY:
- Does not abuse or take advantage of PTO
- Regular attendance is a necessity
- Reports to work as scheduled and can complete all functions of job
- Always provides proper notification and advance notice of absences
- Reports to work, is at the assigned station, and ready to work at proper start time
- Returns from 30-minute lunch on time
OTHER:
- Maintains a well-groomed appropriate appearance
- Maintains a clean, well-kept work area
NOTE:
- All staff will be sufficiently in-serviced to each procedure prior to performing that task
